Fast replies are not enough. These metrics show whether the agent resolves requests, helps you sell and when it needs fixing.

Why measure it

An AI agent that serves your customers is part of your team, and like any team member its work deserves a look. Without measurement, problems surface when a customer complains. With a simple weekly review, you catch them earlier.

6 metrics to start with

1. Resolution. Of all conversations, how many were resolved without human intervention? Review a sample and mark whether the answer was correct and complete.

2. Handoff to a person. How often did the agent pass the request on, and why? A handoff is not a failure: it is a failure when it should have handed off and did not, or handed off something it could have resolved.

3. Response times. Time to first reply and time to resolution. Compare them with what you achieved before having the agent.

4. Meetings and opportunities. How many conversations ended in a booked meeting, a quote request or contact details? This is the measure closest to the business.

5. Satisfaction. A short question at the end (“did this answer help?”) is enough. The comments matter more than the score.

6. Errors. Incorrect, made-up or off-topic answers. Log them one by one and fix the cause: missing information, a confusing rule or a new question.

A 30-minute weekly routine

Pick ten conversations at random and read them in full. Mark what went well and what did not. Add to the knowledge base the questions the agent could not answer. Review the handoffs and confirm that a person handled each one within the promised hours. Record the numbers in a spreadsheet to see the trend month by month.

Before you start: define what “working” means

Set two or three concrete goals, for example “answer outside business hours”, “book meetings” or “reduce repeated questions”, and a starting measurement to compare against. Without a starting point, any number looks good.

Warning signs

Customers repeat the question or ask for a person right away.

The agent confidently answers things your company does not offer.

Nobody reads the conversations.

Answers are never updated when prices, hours or services change.

Handoffs go unanswered.
